Consent for the Kent Boat and Ski Club to hold contact information for members

GDPR applies to all organisations that process data, regardless of size or legal status (e.g. incorporated or unincorporated) or tax status (e.g. charity or CASC). There are no exemptions and the fines for getting it wrong are potentially huge.

What does processing data actually mean?

Processing

Means any operation or set of operations performed on personal data or on sets of personal data, whether by automated means, such as collection, recording, organisation structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure or destruction. Thus, the collection of member data, participant data from race entries, collecting visitor information on an open day, all constitute the processing of data.

Personal Data 

Means any information relating to an identified or identifiable natural person; an identifiable natural person is one who can be identified directly or indirectly in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person.

Data Controller 

Means the natural or legal person which alone or jointly with others determines the purposes and means of the processing of personal data.

Under the KBSC’s obligation to comply with the GDPR, it is required that all members opt in to having their contact information stored on the KBSC’s membership database.

Where appropriate, we urge our members not to use personal email addresses and instead use role specific addresses such as ‘secretary@’, ‘commodore@’ etc.

Each member must complete the following form giving the KBSC permission to store contact details on our membership database. Such information will be securely stored by the KBSC, and not used for any other purpose than for contacting our members. You may if you wish indicate how long you give permission for the KBSC to hold this information, and you may request us to delete any record of such information at any time.

The KBSC will not share your information with anyone else without your written permission.
